Project Overview

The goal of this project was to design a solution that simplified access to organizational policies and procedures for teachers and aged care workers, transforming what was traditionally a complex and time-consuming task into a seamless experience. In collaboration with the product manager and AI development team, I led the user flow and interface design leveraging emerging AI technologies that reduces cognitive load and improves efficiency, enabling users to quickly find, understand, and apply policies without disruption to their core responsibilities. By integrating intelligent automated assistance, we enabled users to quickly find, understand, and apply policies, allowing them to focus on what truly matters—providing safe, compliant, and high-quality care and education.

My Role

I was the Lead UX and UI Designer on this project solely responsible for designing and delivering the AI-powered feature aimed at simplifying how teachers and aged care workers access and comprehend their organization’s policies and procedures. From discovery to release, I led the end-to-end UX process, conducting user research, defining user flows, and creating high-fidelity prototypes. I collaborated closely with the product manager to align on business objectives, incorporated user feedback to refine the experience, and worked directly with developers to ensure seamless implementation through detailed Figma specifications and structured design handovers.

A key aspect of this project was my collaboration with AI experts and engineers, where I deepened my understanding of AI’s role in UX and its potential to enhance user interactions. I played a critical role in validating the AI-generated content, launching a pre-release Beta version to gather real user feedback on the clarity and accuracy of AI-generated policy summaries. This iterative approach ensured the feature not only met technical feasibility requirements but also provided genuine value to users. By leading this feature from concept to launch, I strengthened my ability to bridge UX and AI, facilitate cross-functional collaboration, and drive innovation that streamlines complex workflows, ultimately making the platform more intuitive, efficient, and user-friendly.

The Challenge

Users’ primary responsibility is to provide safe and effective care to their patients and students. To do so, they must follow legally mandated policies and procedures, particularly in critical situations such as crises or incidents. While our platform, PolicyConnect, provides access to this essential content, it is often presented in dense, legalistic language. This results in lengthy, difficult-to-navigate documents that require significant time and effort to interpret—leading to frustration, inefficiency, and, in some cases, the risk of non-compliance.

User feedback gathered through interviews and our online feedback platform, Product Board, consistently highlighted this challenge. Many users expressed difficulty in quickly identifying key information and action steps, reinforcing the need for a more accessible solution.

To address this, we introduced an AI-powered Summarize button that generates concise, user-friendly summaries of lengthy policies. This feature extracts and highlights critical information and next steps, reducing cognitive load and allowing users to focus on their primary duties with confidence. By leveraging AI, we streamlined policy comprehension, significantly improving efficiency and ensuring users can quickly access the information they need to remain compliant.

User Centred Design Approach

The development of this AI-powered feature followed a structured user-centred design process, beginning with research and discovery. The first step involved collating and analysing existing user feedback regarding the comprehension and navigation of policy content, which had been collected through ProductBoard, customer service interactions (calls and emails), and previous user research sessions. This feedback highlighted the challenges users faced in quickly interpreting lengthy, legally dense policies and informed the direction of the solution.In parallel, I conducted technical and design feasibility research by facilitating discussions with AI developers and the Product Manager to align on expectations, system capabilities, and technical constraints. To further validate the approach, I performed market analysis of AI summarization features in similar platforms, such as Confluence and ClickUp, identifying industry standards for content summary length, interaction flows, and AI-specific terminology. This competitive analysis helped shape a more intuitive and effective user experience.

With clear user insights and technical parameters established, I moved into the UX and UI design phase, starting with wireframes to define the user flow and integration points within the existing platform. I continued to collaborate closely with the Product Manager and developers to ensure technical feasibility and alignment with business goals before refining the design further. Once approved, I created high-fidelity prototypes and detailed design specifications in Figma and FigJam, ensuring seamless handoff to developers through structured JIRA tickets. Throughout the development cycle, I worked iteratively with engineers, reviewing implementation details and refining interactions through continuous UX and development feedback loops.

The result was a feature that significantly reduced cognitive load and time spent reading policies, enabling users to quickly access and understand critical information. This streamlined experience led to an 84% reduction in time on page, demonstrating just how effective the solution is at delivering the right information, faster. By enhancing simplicity, efficiency, and accessibility, this AI-powered feature has the potential to drive higher compliance and more informed decision-making for end users.

Reflection

The development of the AI Summarize feature not only improved the user experience by reducing cognitive load and increasing efficiency but also marked a significant milestone for internal UX, Product, Tech and Business teams in advancing our AI capabilities. It initiated our AI journey, leading to the development of a custom AI language model and the creation of AI-specific design elements, including iconography, imagery, and terminology. This project deepened my expertise in designing for AI-powered experiences and strengthened my collaboration with AI experts. I see this feature as just the beginning of my work in AI-driven UX, unlocking new opportunities to enhance digital platforms through intelligent, user-centred design.
